Futures Group in Kenya
Futures Group is in the process of significant growth in Kenya. It currently implements 10 health development projects with approximately 57 staff at the present time, and expects to grow to over 80 staff by September 2013. About two-thirds based in Nairobi and one-third in different counties throughout Kenya. Staff are funded under 10 different health development projects funded by USAID, the US Centers for Disease Control (CDC), and UK Department for International Development (DFID).
Position Summary
Futures Group is seeking a Human Resources Manager to administer integrated human resources policies and programs with business needs in its Kenya office. The HR Manager will ensure current HR practices/systems are working at optimal level, while scrutinizing the operation for improvement opportunities and adaptability to meeting changing business requirements. The person in this position will provide advice and counsel to employees and management in the following areas: Benefits Administration, Compensation, Compliance, Employee Relations, HRIS Implementation and Maintenance, Work Permit-Visa Processing/Consultation, International Employment Agreements, Internships, On-boarding, Performance Management, Policy Development, Separations, and Training/Communication on HR processes/systems. As a subject-matter expert, the HR Manager will guide employees to the resources available to them for their employment needs.
Key Responsibilities
BENEFITS ADMINISTRATION
• Day-to-day administration of Kenya Health and Welfare programs including health insurance plan administration, NHIF and any private insurance
• Work Injury Benefits Act (WIBA) plan administration
• Legal / audit compliance
• Monthly cost tracking and invoicing for HR benefits of all programs
• Processing all new enrollments and employee separations
• Maintenance of benefits files
• Provide all changes in benefits to Payroll for processing
• Review and maintenance of benefit plan summaries
• Provident fund administration and management
• Communication of all benefits and updates through intranet/email/brown-bag sessions
• Implementation of Employee Wellness Programs
• Identifying and planning of best benefits plans for the business and monitoring changes in health care legislation
• Providing benefits consultation while enabling employees with resources to make their decisions
COMPENSATION
• Gather and document information for salary surveys
• Maintain/update compensation structure to ensure ongoing competitive compensation that supports the organizations ability to attract, develop and retain top talent.
• Manage the annual merit review and bonus processes
• Provide payroll with all changes in compensation
COMPLIANCE
• Maintain all personnel records
• Prepare, collect, and organize data for internal/external audits
• Prepare information for all legally required federal and state reporting
EMPLOYEE RELATIONS
• Act as first point of contact for all employee relations issues
• Conducts thorough and effective investigations
• Maintain and coordinate employee recognition programs
• Work closely with employees and management to improve working relationships, build morale, and increase productivity and retention
HRIS IMPLEMENTATION AND INTEGRATION
• Implement and maintain corporate Human Resources Information System
• Prepare people metrics reports for senior management
WORK PERMIT AND VISA PROCESSING
• Coordinate and process all requests for Kenya Work Permits
• Consult with Contracts and Compliance Office to ensure compliance with all Kenya laws
• Provide assistance to employees on Visa applications for travel to other countries for conferences, trainings, etc.
INTERNATIONAL EMPLOYMENT AGREEMENTS
• Provide advice and consultation to corporate Business Development and Recruiting on contingent staffing for proposals
• Review all international employment agreements for compliance with employment templates and adherence to salary guidelines
INTERNSHIPS
• Provide advice and counsel to managers on hiring interns
• Prepare the on-boarding of all interns
ON-BOARDING
• Coordinate and implement new employee’s first day introduction and activities
• Ensure compliance with all state and federal employment documentation requirements
• Prepare and implement quarterly new employee company orientation
PERFORMANCE MANAGEMENT
• Consult with Managers on performance improvement processes
• Maintain data in performance management system
• Plan the yearly performance management process for all employees
• Produce status reports on performance management process
• Provide training/communication on Performance Management process and system
POLICY DEVELOPMENT
• Adapt corporate HR policies and Standard Operating Procedures for Kenya when business needs / legislative environment changes
• Maintain Kenya-specific guidance on policies and standard operating procedures
• Provide guidance and interpretation of policies.
SEPARATION
• Provide legally - compliant and employee - compassionate voluntary and involuntary separations
• Conduct employee exit interviews and provide feedback to management
TRAINING/COMMUNICATION
• Design and conduct training sessions on all new HR processes and systems
• Obtain customer feedback on HR processes through surveys
• Provide updates on all key milestones in HR processes
• Update and maintain HR intranet site
Qualifications
• 5-7 years’ experience with Bachelor’s Degree or 3-5 years with Masters in Human Resources
• Ability to make recommendations to effectively resolve problems or issues by using judgment that is consistent with standards practices, policies, procedures, regulation or government law.
• Ability to objectively coach employees and management through complex, difficult, and emotional issues.
• Ability to work autonomously with a flexible approach
• Demonstrated understanding of the confidentiality of discussions and records
• Detail oriented with strong analytical and organizational skills
• Excellent client management and business literally skills
• Experience in an International Development company preferred
• Flexible and available to interact with employees at all levels in different time zones
• High level of professional credibility and integrity
• Knowledge of Kenya Labor Law
• Proactive and resourceful
• Problem solver and bridge builder
• Working knowledge of multiple human resources disciplines
Physical Demands
• Regularly required to stand or sit, and move about the facility
