Report to: Associate Dean for Undergraduate Studies and Administration
Purpose: The holder of this position provides confidential and high-level administrative and communication support to the associate dean’s office. He or she is responsible for supporting the associate dean in the development of strategic plans and follow-up reports, as well as coordinating different projects among the school’s departments, the Office of Academic Assessment, the Office of Student Services, the Office of Finance, in addition to other units and centers.
Principal Accountabilities:
• Oversee incoming correspondence and requests for the associate dean’s attention, route problems and correspondence to faculty and staff members as appropriate, prioritize items that need immediate attention and answer associate dean’s email and urgent phone calls or mail, as needed
• Gather and compile information for reports and presentations for the associate dean
• Handle all travel arrangements for the associate dean as required
• Maintain extensive and constantly changing schedules for the associate dean
• Maintain records for the work-study program
• Follow-up on assignments, responsibilities and deadlines set by the associate dean
• Act as liaison between the associate dean and HR department in the processes of staff recruitment, promotions and contract renewals
• Organize new faculty orientation, staff meetings and promotional activities
• Prepare all aspects related to new faculty members, i.e. offices, business cards, computers, name plates, email addresses, etc.
• Maintain liaison with all faculty members to coordinate and resolve problems and issues related to academic, financial and administrative matters
• Prepare the secondement letters of adjunct faculty
• Follow up with the departments on the faculty teaching loads
• Investigate and resolve student educational issues requiring academic actions in consultation with pertinent individuals and departments according to the policies and procedures of the University
Requirements:
Minimum education requirement: BA/BSc in business or business-related discipline required
Experience: Minimum four years of relevant experience
Skills:
• Excellent command of written and spoken English and Arabic
• Ability to multitask and work with minimal supervision
• Strong communication and administration skills
• Ability to work in and lead teams
• Strong computer skills.
